Moneybird, telling you things

You do not open your bookkeeping to check whether that invoice was paid. It tells you, in WhatsApp, the moment it happens. Nothing to install, no extra app to keep an eye on.

The reason people open Moneybird during the day is almost never to do bookkeeping. It is to look at one number: whether that invoice came in, how far over the due date this one is, what last month actually did. That is a question with a short answer, and a short answer does not need a login.

Control

It is quiet unless you said otherwise

A notification connector is only worth having if switching it down is as easy as switching it on.

Every type is a switch
Each notification is on or off, on its own, in the Schakel dashboard. You can also just say it in the chat: "turn the monthly summary off" changes the same setting, and you get a confirmation back so you know it landed.
Quiet hours
Nothing arrives between 23:00 and 08:00 by default. A message that falls inside the quiet window is held and delivered afterwards, it is never dropped, so a payment that came in at midnight is waiting for you in the morning rather than gone. You can move the window or switch it off entirely.
Filter per project
Pick the projects you want to hear about and the rest stays silent. Everything is still booked in Moneybird exactly as it was, you simply do not get a message about it.
Your number

Your number, and nobody else's

Your administration says what you invoice, what you are owed and who has not paid. That is not information to send to a number somebody typed in a form.

Bound with a code, from your own phone

Schakel shows a short code in the dashboard and you send it to the Schakel number yourself. The binding only exists once that message arrives, so a number cannot be added on your behalf.

One person, one set of settings

Working with a bookkeeper or a colleague? Each of you binds your own number and each of you decides what to receive. Your quiet hours are not theirs.

Revoked in one click

Unbind the number in the dashboard and the messages stop straight away. Losing a phone is a two-minute problem, not a data problem.

Getting started

Four steps, once

  1. Step one

    Connect Moneybird. You authorise Schakel from inside Moneybird, so your password is never asked for or stored, and you can revoke it from that same screen.

  2. Step two

    Pick your administration. If you run more than one, each administration gets its own set of notifications.

  3. Step three

    Bind your number. Schakel shows you a short code, you send it to the Schakel number from WhatsApp, and that number is now yours. Nothing is sent to a number that has not done this.

  4. Step four

    Switch on what you want to hear. Everything starts from the defaults in the list above, and you can change any of them later from the dashboard or from the chat itself.

Schakel reads Moneybird through an authorisation you can revoke, and never asks for your password. Messages go to bound numbers only, and a bound number can be removed at any time.

Can you connect Moneybird to WhatsApp?

Yes. Schakel connects through the official APIs of Moneybird and WhatsApp, so you install nothing on your own server and nothing travels outside those two parties.

Can I choose which events send me a WhatsApp message?

Yes. You decide which events from Moneybird produce a message, for instance a new order but not a stock change.

Which WhatsApp channel do the notifications land in?

The channel you choose. You can also send different kinds of notification to different channels, so it does not become one big stream.

Does this run over my personal WhatsApp or a business number?

Over a business WhatsApp number with a provider that allows messages through an API, not your personal app.

What does connecting Moneybird and WhatsApp cost?

You start free and only pay once the connector is really running. After that the same tiers apply as for any other connector, based on how much runs through it each month.

How often does Moneybird sync with WhatsApp?

That depends on your tier: hourly on the free tier up to every 5 minutes on the unlimited tier. You can always start a sync yourself as well.

Do I get one WhatsApp message per event or a summary?

By default it is one short message per event, one line on what is happening. If you would rather have a digest, we settle that when setting it up.

What if Moneybird or WhatsApp is briefly unavailable?

Nothing gets lost. Schakel retries later and the log shows exactly what happened, so at most you notice something coming through a little later.
