There is money in your Moneybird nobody looks up any more. That is where this assistant starts.

Up front, so you do not start on the wrong foot: Schakel does not connect your Moneybird to OpenAI, nor to an account you hold there. The Schakel assistant runs on DeepSeek and works straight inside your administration. What you get out of that is less abstract than it sounds. Almost every administration holds unprocessed bank entries, payments out with no receipt and logged hours that never made it onto an invoice. That is not a bookkeeping detail, that is money. This page is about what happens to it.

What the assistant does

What this automation does, and when.

  1. Bank entries piling up

    You can ask how many are still unprocessed, and you can switch on the notification so you hear it rather than discover it. Processing them stays a choice you make.

  2. The receipt behind money that left

    No document means no cost entry and no reclaimed VAT. Schakel asks for it, reminds you once and then stops, with a floor so bank charges and direct debits stay out of it. Say there is no receipt and it stops asking.

  3. Hours still waiting for an invoice

    Hours can be logged on the spot, in one sentence, against the right project. And you can ask how many billable hours are open, split across your projects, and have an invoice made of them right away.

  4. Payments belonging to the right invoice

    Every incoming payment is held against your open invoices, with a confidence of 0 to 100 and the reason attached. By default you get a proposal, and you do the booking.

Why a chat window does not do this

All three things above need the same thing: something that keeps looking, that knows what already happened, and that is allowed to write back. A chat window with an export in it has none of the three, however good the model is.

This is also exactly why we do not see the model as the interesting part. The interesting part is that something keeps looking and is allowed to write back, with your confirmation attached.

    You grant access in Moneybird itself. After that the assistant can read what is open and, after your confirmation, write.

    Ask what is piling up

    How many bank entries are still unprocessed, how many billable hours are open, what is overdue. That changes nothing and gives you the picture immediately.

    Switch on the receipt requests

    Pick a floor that fits your account. Everything under it is left alone, everything above it gets one question and one reminder.

  4. 04

    Let it remember what it needs to know

    Say once that a regular supplier belongs to a particular project. That becomes a knowledge card and saves you the question every time after.

Common questions

Does my Moneybird data run through OpenAI?

No. The assistant runs on DeepSeek and there is no connection to OpenAI or to an account you hold there.

Does it process my bank entries itself?

It says how many are waiting and proposes a match on incoming payments. Booking happens after your yes, unless you deliberately switch automatic booking on.

How often does it ask for a receipt?

Once, and then exactly one reminder. If you still do not answer, it stops. Say there is no receipt and it stops for that entry right away.

Can it invoice hours without me looking?

No. You first see which hours go on which invoice, and only after your confirmation is there a draft in Moneybird.

Will this message me all day?

Only from the types you have switched on, and quiet hours hold them until a reasonable time. You can say in the chat which ones you no longer want.

Does this work if I have no webshop?

Yes. This hangs off one system, your Moneybird. No sales channel is needed, and the examples above come from a painting business.

Can you connect Moneybird to OpenAI?

Yes. Schakel connects through the official APIs of Moneybird and OpenAI, so you install nothing on your own server and nothing travels outside those two parties.

The project or list you choose. That keeps everything in one place rather than scattered, and follow-up does not depend on someone remembering.
