To be clear up front: Schakel does not connect your Moneybird to ChatGPT, nor to an account you hold there. The Schakel assistant is our own and runs on DeepSeek. The interesting difference is not the model anyway. A chat window, whatever model sits behind it, waits for you to ask. Your administration does not wait: invoices go overdue, quotes expire, bank entries pile up. This page is about the half of the assistant that starts on its own, and about how you quieten it when it gets to be too much.

What the assistant does

What this automation does, and when.

  1. About your money

    Payment received, and a found payment still to be matched to an invoice. The latter comes with a confidence of 0 to 100 and the reason, for instance the invoice number in the description or an amount that fits only one invoice.

  2. About your invoices and quotes

    An invoice going overdue, a reminder that went out, and a quote that expired without an answer. Each with the number, the customer and the amount, so you do not have to click through to know whether it is urgent.

  3. About your costs

    A new purchase invoice with supplier, amount and due date, and a request for the receipt behind a payment out. That request comes once, with exactly one reminder after it, and has a floor so bank charges do not bother you.

  4. About your overview

    The monthly overview with invoiced, received and still open, a VAT reminder once the quarter has ended, and a nudge when bank entries are left unprocessed.

A chat window is an excellent answering machine and a useless alarm clock. Almost everything that goes wrong in an administration goes wrong because nobody looked in time. This is what arrives on its own, and why that is the difference.

The reason every type is a switch is quite practical: an automation that sends too much gets muted, and a muted automation reports nothing at all, including the one message you did want to see.

Setting it up

  1. 01

    Connect your administration

    You grant access in Moneybird itself. From then on the assistant can see what is open and what comes in.

  2. 02

    Start with a handful of types

    Switch on the notifications you would want to know about today, usually payments and overdue invoices. The rest you can add later.

  3. 03

    Set your quiet hours

    Outside those hours a notification is held rather than sent. That keeps the rest usable without it landing in your evening.

  4. 04

    Adjust in the chat

    If something comes too often, just say so. The assistant changes that one switch and leaves the rest alone.

Common questions

Do I get these messages in ChatGPT?

No. There is no connection to ChatGPT. The messages arrive in the chat in your Schakel dashboard, and with the WhatsApp add-on on your phone as well.

How many messages is this per week?

It depends on your administration and on what you have switched on. With only payments and overdue invoices on it is usually a few a week.

Can I switch notifications off in the chat?

Yes. Saying you no longer want a certain type is enough. The assistant changes that one switch and confirms what is now on and off.

Does the assistant book a payment itself?

By default it only proposes, with the confidence attached, and you book. Booking automatically is a setting you switch on yourself, and it only acts above the threshold.

Is the VAT reminder also a return?

No. It is a reminder that the quarter has ended, with the deadline attached. If you ask for a VAT overview you get the figures from your own administration, not a filed return.

What if I do not respond?

On most notifications nothing: it is a message, not a task. Only a requested receipt gets exactly one reminder, and after that it stops.

Can you connect Moneybird to ChatGPT?

Yes. Schakel connects through the official APIs of Moneybird and ChatGPT, so you install nothing on your own server and nothing travels outside those two parties.

Which ChatGPT project or list do the tasks land in?

The project or list you choose. That keeps everything in one place rather than scattered, and follow-up does not depend on someone remembering.
