You already have Moneybird and it works. So the question is not whether AI sounds nice, it is what changes in the administration your business runs on. Honest answer: inside Moneybird nothing changes about how it looks. What is added is an assistant that watches along, that can answer questions from your own figures, that speaks up when something is waiting, and that books after your confirmation. It runs on DeepSeek, not on Claude or ChatGPT, and you switch it off in Moneybird itself. Below is what that means in the first days and weeks.

What the assistant does

What this automation does, and when.

  1. Day one: looking only

    Once connected you can immediately ask questions about your own figures. That changes nothing, and it is the best way to see whether the assistant reads your administration correctly before you let it record anything.

  2. The first week: it learns your habits

    Which ledger account your revenue lands on, which VAT rates you use, which projects run and which supplier usually belongs to which project. That is recorded as separate cards with the source attached, so you see what you said yourself and what the assistant concluded on its own.

  3. After that: it starts on its own

    Payments are held against your open invoices, overdue invoices and expired quotes come by, and at the end of the month you get invoiced, received and still open in one message. Every type is a switch.

  4. What does not change

    Moneybird stays Moneybird, with the same screens, the same numbering and the same exports. Your bookkeeper carries on as before. No layer appears in between that you must use to get at your own books.

Making an invoice

Log in, find the contact, enter the lines, pick the VAT, pick the project, save. Usually at a moment you were actually doing something else.

Type one sentence, check the draft, say yes. The contact is looked up in your own administration, and the project comes from what the assistant knows about your business.

Processing a receipt

The receipt sits in your car, in a coat pocket or somewhere in your camera roll, and is booked in the week you finally get round to your admin.

You send the photo the moment you have it. Amount, VAT and date are read, you are asked which project, and after your yes it is in there with the photo attached.

Working through bank entries

A list that grows until you set aside an afternoon and search per row which invoice it belonged to.

Missing receipts

    Authorise once in Moneybird itself and pick which administration it concerns. No password sharing, no installation.

    Walk through the guided setup

    Ledger account, VAT rates and projects. This takes a few minutes and saves the assistant a question every time after.

    Ask questions only, for a week

    Outstanding, revenue, VAT, unprocessed entries. That way you know it holds up before you let anything be recorded, which is the order we would keep ourselves.

    Add one thing at a time

    Receipts first, then payment proposals, then the notifications you want. Everything switches on and off one at a time, including by simply saying so in the chat.

Common questions

Does anything change in my Moneybird itself?

No. The same screens, the same numbering, the same exports. What the assistant creates simply appears as an invoice, quote or purchase invoice, indistinguishable from any other.

Can this get in my bookkeeper’s way?

No more than if you had entered it yourself. Everything sits in Moneybird where it belongs. It is worth agreeing which ledger account you use, though, because everything falls back on that.

What happens if I stop?

You withdraw access in Moneybird and it stops. Everything booked stays put, because it lives in your administration and not somewhere with us.

Can it throw something away?

Deleting an invoice is on the list, but right at the bottom and with the same confirmation step as everything else. It happens only if you ask for it and then say yes.

Does this run on Claude or ChatGPT?

No, on DeepSeek. There is no connection to Anthropic or OpenAI and you cannot attach an account or key of your own.

Does this work with several administrations?

You connect per administration, so a question or a booking never accidentally lands in the wrong books.

Can you connect Moneybird to AI?

Yes. Schakel connects through the official APIs of Moneybird and AI, so you install nothing on your own server and nothing travels outside those two parties.

Which AI project or list do the tasks land in?

The project or list you choose. That keeps everything in one place rather than scattered, and follow-up does not depend on someone remembering.
