AI on your Moneybird, without exporting your administration anywhere.
The honest part first: Schakel does not connect your Moneybird to Claude or to an Anthropic account. Schakel has its own AI assistant, running on DeepSeek, that talks to your administration directly. That difference matters to you on one point above all, and it is exactly the point people running this search worry about: what leaves my bookkeeping, and where does it go. This page is about that.
What that looks like
What the assistant does
What this automation does, and when.
-
Your own figures, asked for in plain language
Open invoices and how many are overdue, revenue over a period, a monthly overview, a VAT overview per quarter, your cash flow, bank entries still to be processed, logged hours and quotes. Asking leaves your administration untouched.
-
Fetched per question, not copied up front
No copy of your administration is parked somewhere to search through. On every question, what that question needs is fetched through the Moneybird API, and nothing more.
-
Notifications that start on their own
Payment received, invoice overdue, reminder sent, quote expired, new purchase invoice, monthly overview, VAT reminder and unprocessed bank entries. Each is its own switch, and quiet hours hold them until a reasonable time.
-
What it remembers about your business sits separately
Rules like “this supplier belongs to this project” become knowledge cards in your dashboard. Every card records whether you wrote it, the guided setup did, or the assistant concluded it from a conversation. You can switch any card off.
Pasting an export into a chat window, or simply asking
The do-it-yourself version of this search is: export your invoices from Moneybird, paste the file into a chat window, ask your question. That works once. After that it is the same work every time, and you handed over the whole export to get one number back.
How much goes out the door?
The whole file, with every customer name, address and amount in it, including the rows your question had nothing to do with.
What the question needs. Ask what is outstanding and your open invoices are fetched, not your whole financial year.
How current is the answer?
As current as your export. Book something this afternoon and this morning’s conversation is out of date, and you will not know.
Fetched from Moneybird at the moment you ask. There is no copy in between that can go stale.
Who starts the conversation?
You, every time. Which means you only find out what you happen to ask.
The assistant too. An invoice going overdue, a quote expiring, bank entries piling up: that comes to you.
And if you want something changed?
You get text back and go to Moneybird yourself to type it in.
You see the draft first, and after your yes it is in Moneybird. No retyping, and nothing happens you did not say yes to.
What it saves you
- No export, no intermediate copy, no file that is wrong a week later.
- An answer about your own administration instead of a general answer about bookkeeping.
- You hear when something is waiting, rather than when you happen to look.
- Everything it has learned is visible and can be switched off one card at a time.
Setting it up
- 01
Grant access through Moneybird
You authorise Schakel once in Moneybird itself and pick the administration. You share no password and nothing is exported.
- 02
Ask something that changes nothing
Start with what is outstanding or how much revenue did I do last month. That shows you what is read back before you let anything be recorded.
- 03
Pick the notifications you want
Switch each type on or off and set quiet hours. That works in your dashboard and it works in the chat, for instance turn those supplier invoices off.
What you need
- A Moneybird administration you administer
- A Schakel account for the chat, the knowledge cards and the settings
- A sense of which notifications you do and do not want
Not sure how to get those keys? Step by step:

Common questions
Does my Moneybird data go to Claude or Anthropic?
No. There is no connection to Claude or Anthropic. The model behind the assistant is DeepSeek, and what it sees is what was fetched from Moneybird for your question.
Is anything trained on my administration?
No. Your administration is used to answer your question and make your bookings. No model is trained on it.
Can I see what was fetched?
The conversation is in your dashboard, with the answers and amounts in it. What was recorded in Moneybird you see in Moneybird itself.
Does this work with several administrations?
You connect per administration. If you run more than one, you connect them separately, so a question never accidentally covers the wrong books.
Can I switch it off again?
Yes. You can switch notifications off per type, deactivate knowledge cards, and withdraw access to your administration in Moneybird itself.
Does this replace my bookkeeper?
No. It takes away the retyping and the after-the-fact searching, and it keeps your administration current. Filing your returns and your annual accounts stay human work.
Can you connect Moneybird to Claude?
Yes. Schakel connects through the official APIs of Moneybird and Claude, so you install nothing on your own server and nothing travels outside those two parties.
Which Claude project or list do the tasks land in?
The project or list you choose. That keeps everything in one place rather than scattered, and follow-up does not depend on someone remembering.
