Log hours via WhatsApp
Hours you only write down at the end of the week are hours you forget. Send a message as soon as you are done and the hours are on the right project in Moneybird. At the end of the month you turn them into an invoice.
An AI assistant, not an accountant. It can make mistakes, so you always check the preview and say yes before anything lands in Moneybird.
No credit card. After the trial you drop back to the free plan.
Logging hours without a screen full of fields
Logging hours in an accounting package means: log in, pick a project, date, description, number of hours. That is why it happens too late and too inaccurately. With the assistant you write one sentence: "log 3 hours on Van Beek Interieur, sanding the ceiling". It records the hours on the project with your description.
Hours are billable by default. If you say an hour is not to be invoiced, it records that. You can always ask what is still waiting to be invoiced, per project.
When does it ask for confirmation?
That depends on your setting. Logging hours is a small action. In the "suggesting" setting the assistant records hours directly and reports what it did. In the careful setting it first shows a preview and waits for your yes. You can adjust this per action.
The step that produces money is always fixed: turning hours into an invoice always asks for your yes and cannot be turned off.
From hours to invoice
At the end of the month, say the outstanding hours should be invoiced. The assistant makes a draft invoice of the billable hours at the hourly rate you set in your settings. You see the preview, say yes and the draft invoice is in Moneybird. Sending is a separate step after that.
Want to know where you stand? Ask how many hours are open and on which projects. That is just a question, nothing changes.
Hours in four steps
-
Set your hourly rate
Once, in your settings. That is where the rate comes from when you turn hours into an invoice.
-
Log your hours
Number of hours, project and what you did, in one sentence. Only mention a date if it was not today.
-
Ask what is open
You get the number of billable hours per project, without anything changing.
-
Turn them into an invoice
Say so, look at the preview and say yes. The draft invoice is in Moneybird.
This works
- Log hours on a project, with a description.
- Ask which hours are still waiting to be invoiced.
- Turn hours into a draft invoice at your hourly rate.
- Name a project or customer and have it looked up in Moneybird.
This it does not do
- Time tracking with a clock or timer. You give the number of hours yourself.
- Working out for itself which hours you worked.
- Sending an invoice for hours without your yes.
- Handling salary or payroll.
Frequently asked questions
Can I log hours via WhatsApp?
Yes. You send a message with the number of hours, the project and what you did, and the assistant records them in Moneybird. Speaking works too: voice messages are transcribed and you see the text back.
Where does the hourly rate come from?
From your settings in Schakel. You set it once, and it is used when you turn hours into an invoice.
Are hours always billable?
By default, yes. If you say an hour should not be invoiced, the assistant records it that way.
Does it ask for confirmation for every line of hours?
That depends on your setting. With "suggesting" it records hours directly and reports it, in the careful setting it asks first. Turning hours into an invoice always asks for your yes.
What does it cost?
You can try the assistant free for 30 days, no credit card needed. After that you drop back to the free plan unless you choose a paid one. The current plans are on the pricing page. WhatsApp itself costs nothing extra.
