Keep an eye on outstanding invoices and payments
Who has paid and who has not: you want to know without laying your bank and Moneybird side by side every morning. The assistant keeps track, answers your questions and speaks up on its own when there is something to see.
An AI assistant, not an accountant. It can make mistakes, so you always check the preview and say yes before anything lands in Moneybird.
No credit card. After the trial you drop back to the free plan.
Asking what is outstanding
You ask "what is still open?" and get the number of outstanding invoices, how many of them are overdue, the oldest and the total amount. You can follow up per customer or per invoice. Asking changes nothing in Moneybird, you just get an answer out of your own administration.
The answer comes from Moneybird, not from the language model's memory. The assistant does not calculate itself, it asks Moneybird. That makes the result checkable: you see the same figures in Moneybird.
Notifications on their own
The assistant speaks up when something happens that concerns you. A payment is in, an invoice is overdue, there is a payment out without a receipt, it is the first of the month for your monthly summary or a VAT quarter has just ended. Every kind of notification is a switch you turn on or off yourself. During quiet hours it holds messages and delivers them afterwards.
An "invoice overdue" notification comes once per invoice, the day after the due date has passed. A notification that a payment is in comes shortly after it arrives. That runs on a periodic check, not to the second.
Linking payments to invoices
If your bank is in Moneybird, the assistant holds payments against your open invoices. An invoice number in the description with the right amount is a strong signal, so is a customer name with a unique amount. By default it makes a proposal with the reason and a confidence, and you book with a yes. You can also turn this off or set it to automatic. Only on automatic does it book without a yes per payment, and changing the setting always asks for confirmation.
What it does not do is chase your customer. You hear from the assistant about who is late, and what you do with that is your decision. Sending a reminder remains something you do in Moneybird yourself.
How you keep track
-
Have your bank in Moneybird
The assistant reads your bank transactions from Moneybird. It does not create a bank connection itself.
-
Choose your notifications
On or off per kind, with quiet hours and optionally a filter per project.
-
Choose how payments are linked
Off, propose (default) or automatic.
-
Ask and confirm
Ask what is open and say yes to a proposal. That way your administration is up to date without searching.
This works
- Ask what is outstanding, what is overdue and the oldest invoice.
- A notification for a payment, an overdue invoice and a missing receipt.
- A monthly summary with invoiced, received and still open.
- Propose linking payments to invoices, with reason and confidence.
- A VAT reminder after a quarter ends.
This it does not do
- Write to or chase your customers.
- File a VAT return. The VAT overview is an indication.
- Create a bank connection in Moneybird.
- Register a payment as paid outside the setting you chose.
Frequently asked questions
Does the assistant send my customers a payment reminder?
No. Schakel never writes to your customers. You get a notification yourself that an invoice is overdue and decide what to do.
How fast do I get a notification that someone paid?
Shortly after the payment shows as paid in Moneybird. The check runs periodically, so it is not to the second.
Does the assistant book payments without me?
By default it makes a proposal and you book with a yes. Only if you set payment linking to automatic does it book without a yes per payment.
Can I turn notifications off or keep them quiet at night?
Yes. Every kind of notification is a switch, and quiet hours are 23:00 to 08:00 by default. Messages in those hours are held and delivered afterwards.
What is in the monthly summary?
Three figures: invoiced, received and still open. It is not a profit and loss account.
