Create a quote via WhatsApp
A quote is often a quick answer to a question you get on site. Type what you are quoting, check the preview and the quote is in Moneybird. After approval you turn it into an invoice with one sentence.
An AI assistant, not an accountant. It can make mistakes, so you always check the preview and say yes before anything lands in Moneybird.

A quote on site
Freelancers and small businesses often do quotes between two jobs: in the van, on the pavement or on the phone. At home you still have to retype it in your accounting package, and by then the customer has gone cold. With the assistant you describe the quote right away, while you are discussing it with the customer.
You write for example "make a quote for Van Beek Interieur, painting an office, 1,850 euro excl." The assistant looks up the contact, takes the VAT rate from your administration and shows a preview. Say yes and the quote is in Moneybird.
From quote to invoice
Once your customer has approved, you say the quote should become an invoice. The assistant converts the quote into a draft invoice with the same lines. That asks for your yes, because it is the step after which money is requested.
That way you retype nothing and the quote stays the source of the invoice. If you then want to send the invoice, that is again a separate step with its own confirmation.
What you keep in your own hands
Making a quote is a write action, which by default asks for a preview first. Sending a quote to your customer always asks for your yes and cannot be turned off. Neither can converting a quote into an invoice.
The assistant cannot edit an existing quote. If something has to change, go to Moneybird or have a new one made. It also has no notification for expired quotes, so keep an eye on validity yourself.
A quote in four steps
-
Describe the quote
Customer, description and amount. If the customer is new, the assistant creates the contact.
-
Check the preview
Contact, line, VAT, project and total. Adjust what is off.
-
Say yes and send
The quote is in Moneybird. Sending it to your customer is a step of its own with its own yes.
-
Convert it after approval
Say the quote should become an invoice. You get a draft invoice after your yes.
This works
- Make a quote with a preview first.
- Send a quote, after your explicit yes.
- Convert a quote into a draft invoice.
- Ask for your outstanding quotes.
This it does not do
- Edit an existing quote.
- Tell you that a quote has expired.
- Send or convert a quote without your yes.
- Chase your customer about an unanswered quote.
Frequently asked questions
Can I have a quote made via WhatsApp?
Yes. You describe the quote in a message and, after your yes, the assistant prepares it in Moneybird. Sending it to your customer is a separate step that always asks for confirmation.
Does the quote automatically become an invoice after approval?
No. You say yourself that the quote should become an invoice, and confirm it. The assistant does not know when your customer approved unless you say so.
Can I edit a quote afterwards?
The assistant does not edit existing quotes. Change it in Moneybird or have a new one made.
Does the assistant warn me when a quote expires?
No, that notification does not exist. You can ask which quotes are outstanding, though.
Do I have to use WhatsApp?
No. WhatsApp is an extra channel. The same assistant is also a chat inside your Schakel dashboard and does the same things there. It is one conversation, so you can switch channel halfway.
