Connect PrestaShop to Exact Online: orders and credit slips as sales invoices with the right VAT code
PrestaShop keeps everything in the shop itself: orders, customers, tax rules and credit slips are separate parts of the webservice. Exact Online wants a sales invoice from that, with a relation, a journal and a VAT code per line, and those codes differ per administration. Schakel reads your PrestaShop orders with a key that may only read and books them as a sales invoice in Exact, with a credit invoice when the shop makes a credit slip.

What travels across the link
Everything this connector moves between PrestaShop and Exact Online, and how often.
-
Orders as sales invoices
A PrestaShop order becomes a sales invoice in Exact, with a line per product, the customer as a relation and the order reference as reference. You choose at which order status, such as paid or shipped, the invoice is created.
-
VAT code from your administration
The VAT codes of Exact are short codes that differ per administration: in one 21% is called "1" and in another "VH". Schakel pulls the list from your administration, so you link instead of retype.
-
Shipping and discounts apart
Shipping costs and cart-rule discounts arrive as their own lines on their own revenue account, with the rate PrestaShop charged on them. Your product revenue is then correct without later corrections.
-
Credit slips as credit invoices
If the shop makes a credit slip for a return, it arrives as a credit invoice in Exact for the amount of the credit slip, not for the whole order.
-
How PrestaShop talks: the webservice in short
The webservice sits under /api in the shop. Your key goes as the username in a Basic header, with no password, and you set rights per resource for read, write and delete. Responses are XML by default; JSON exists as output only, from PrestaShop 8.1. With date filters you only pull what is new.
-
Worked example (fictional)
Example: two products of 25.00 excl. each and 5.95 excl. shipping, 21%, give 55.95 excl. and 11.75 VAT, so 67.70 incl. If the customer then gets a credit slip for one product, a credit invoice of 30.25 incl. follows (25.00 plus 5.25 VAT). The amounts are invented.

What PrestaShop to Exact Online saves you
- You no longer export orders from PrestaShop to import them into Exact.
- Your key may only read, so nothing in your shop can change.
- Every VAT code comes from your own administration, not from a default list.
- A credit slip in PrestaShop automatically becomes a credit invoice in Exact.
Setting it up
- 01
Create a webservice key in PrestaShop
You switch the webservice on in your shop and create a key with read rights on orders, customers, addresses, order details and credit slips. Nothing more than reading: the key has no password, so be sparing with the rights.
- 02
Connect Exact Online
You click Connect with Exact Online, sign in and approve. Schakel takes the administration that is active at that moment and shows the administration number so you can check it is the right one.
- 03
Pick journal, accounts and VAT codes
You pick the sales journal and the revenue accounts for products, shipping and discounts, and link each VAT rate of your shop to a code from Exact.
- 04
Check and let it run
The first invoices are drafts in Exact, so you can review them. After that new orders keep flowing.

Common questions
Is the PrestaShop to Exact Online connector available?
Request this connector and get access. You let us know you want to link PrestaShop to Exact Online, and we make sure you can get started. You hear from us within 24 hours.
Why does the webservice return an empty list?
Usually the key has no read right on that resource. The webservice lists per resource whether reading is allowed. Give the key read on orders, customers, addresses, order details and credit slips, and try again.
Does the webservice not work on my hosting?
The webservice needs rewrite rules: on Apache mod_rewrite has to be on and the .htaccess file has to be read. If that is off, the /api address does not exist. Your host can switch it on.
Does Schakel write anything back to PrestaShop?
No. The key may only read, so orders, stock and customers in the shop stay as they are.
My invoices are in Exact but not on my VAT return, how come?
Then they are waiting as drafts. That is the state the connector starts in, so you can review the first few. Switch the draft setting off in the settings once you trust them.
Does this work with several PrestaShop shops?
Yes. Each shop has its own webservice key. You add them separately and choose the same or a separate journal in Exact for each shop.
Can you connect PrestaShop to Exact Online?
Yes. Schakel connects through the official APIs of PrestaShop and Exact Online, so you install nothing on your own server and nothing travels outside those two parties.
Which VAT rate do my sales get in Exact Online?
The rate is set per line: 21%, 9% or 0%. Sales to Belgium and other EU countries get the rate of the destination country, ready for your OSS return.
