From Bol.com order to Moneybird invoice

In Moneybird every Bol.com sale arrives as a sales invoice with its own line items. The customer becomes a contact (existing contacts are reused) and the order number sits in the reference, so you can trace every invoice back to the order in your Bol.com seller portal.

Below you see what lands in Moneybird per part. The full explanation with a worked example is on the page Bol.com to Moneybird.

What shows up in Moneybird

In Moneybird a Bol.com payout falls apart into four kinds of documents:

  • Sales invoice: the sales, with the right VAT rate per line (21%, 9% or 0%).
  • Purchase invoice for the commission, so it is not netted off your revenue.
  • Purchase invoice for shipping and other costs, split per cost type on its own ledger account.
  • Credit note for returns, for the amount actually refunded.

Advertising, payouts and earlier periods

Your Bol.com advertising invoices are fetched and booked too, with the PDF attached. The payout statement is matched against the invoices it covers, so the amount in your bank account reconciles. More on advertising bookings in Bol.com advertising costs in Moneybird.

Revenue from before you connected can be rebuilt from your Bol.com consolidated invoices, so switching mid-year does not leave a hole in the books. With more than one seller account, they can feed the same Moneybird administration; see connecting several Bol.com stores.

Checking a payout in Moneybird

The order number is in the reference of the sales invoice. Search Moneybird for that number and you see the invoice, for a return the matching credit note, and the payment. That way you can trace every Bol.com sale without going back to the seller portal.

You check a payout by adding up the documents: the sales invoices minus the purchase invoices for commission and costs and minus the credit notes for returns equals the amount on your bank statement. In the example on the page Bol.com to Moneybird that is 8,412.50 minus 1,219.80 minus 743.15 minus 265.43, together 6,184.12 (illustrative amounts). If your sum does not match, you know straight away which document to look in.

VAT in Moneybird

The VAT rate is set per invoice line. Sales through Bol.com Belgium and to other EU countries get the rate of the destination country when the VAT rules for your situation call for it (see OSS and VAT on EU sales), so your return does not have to be corrected line by line afterwards. What changes under the OSS scheme is on OSS and VAT on EU sales.

How Moneybird itself handles VAT rates, for example for reverse charge, is covered in VAT rates on Bol.com.

Frequently asked questions

Does Bol.com create invoices in Moneybird by itself?

No. Bol.com provides orders, costs and payouts, but no invoices in your books. Schakel turns them into sales invoices, purchase invoices and credit notes in Moneybird.

How often are Bol.com invoices booked?

New sales are booked as invoices without you opening anything. How often it syncs depends on your plan; see pricing.

What if I have been booking by hand for months?

Revenue from before you connected can be rebuilt from your Bol.com consolidated invoices. Check the preview during setup so you are sure nothing is booked twice.

Can I book two Bol.com accounts into one Moneybird administration?

Yes. More than one seller account can feed the same administration, each with its own ledger accounts if you want to keep them apart. A second account of the same type gets 50% off, see pricing.

Which VAT rates are supported?
