Why Bol.com bookkeeping is harder than it looks

Bol.com pays you out periodically, but your books need an invoice per sale and a booking per cost type. A single payout therefore holds several things at once: the sales, the commission, pick and pack or shipping costs, and refunded returns.

If you only book the amount that reaches your bank, your revenue is wrong, you can no longer read your margin and your VAT return no longer matches what you actually sold. Booking it properly is a lot of manual work: export the orders, sort out the costs per type, credit returns separately and put everything on the right ledger account.

What has to end up in your books

A complete Bol.com administration has five parts. Each of them can be automated.

  • Sales invoices: every sale as an invoice with line items, the customer as a contact and the order number as the reference, so a booking can always be traced back.
  • Commission and other costs: as a purchase invoice, per cost type on its own ledger account. That keeps your revenue as revenue and your margin readable. See also booking commission in Moneybird.
  • Returns: a credit note for the amount actually refunded, not for the whole order. How that works is in Bol.com returns as credit notes.
  • Payouts: matching the payout statement against the invoices it belongs to, so the amount in your bank reconciles. See reconciling payouts in Moneybird.
  • VAT per line: the right rate on every invoice line, including sales to Belgium or other EU countries. More on that on the page about OSS and VAT on EU sales.

How Schakel does this for you

Schakel fetches your Bol.com orders, costs and payouts and books them in your accounting package. For Bol.com to Moneybird that means one sales invoice per sale, commission as a purchase invoice, costs split by type, returns as credit notes and the payout matched against your invoices. Rates of 21%, 9% and 0% are applied per line and sales through Bol.com Belgium get the rate of the destination country when the VAT rules for your situation call for it (see OSS and VAT on EU sales).

During setup you choose the ledger accounts the amounts land on, and you see the first invoices in a preview before anything is final. After that it runs in the background; if a sync fails it is retried and you get a notification if it keeps failing.

Which accounting package fits you?

Every combination has its own page. Pick the accounting package you use below and read what applies to that combination. Not sure which package suits a webshop? Start with the page on all connectors.

How to start

  1. Create a Bol.com API key

In your seller account you create a Client ID and Client Secret for the Retailer API. It takes about two minutes; the step-by-step guide has a screenshot for every step.

  2. Give access to your bookkeeping

You give Schakel access to your administration. For Moneybird that is an API token, see the guide.

  3. Pick your ledger accounts

For each kind of amount you choose the account it lands on: revenue, commission, shipping costs. You see the first invoices in a preview before they are final.

  4. Let it run

New sales are booked without you opening anything. At the end of the quarter you build your VAT return on books that are already complete.

What automation does not do for you

Schakel books; it is not an accountant and does not give tax advice. You file your VAT return yourself or through your accountant, and which ledger accounts fit your administration is for your administration to decide. Check the preview during setup and look every now and then whether the bookings match your expectation.

What Bol.com exposes through its API decides what can be fetched. For the details read the page on Bol.com and Moneybird and the automations for Bol.com.

Frequently asked questions

Can I fully automate my Bol.com bookkeeping?

Fetching and booking sales, commission, costs, returns and payouts can be automatic. Your VAT return and reviewing your figures stay with you or your accountant. During setup you see a preview before anything becomes final.

What happens with returns?

A return becomes a credit note for the amount actually refunded, not for the whole order.

How is Bol.com commission booked?

As a purchase invoice, per cost type on its own ledger account. Your revenue is not reduced by the commission and your margin stays readable.

Does this work for Bol.com Belgium too?

Yes. Sales through Bol.com Belgium and to other EU countries get the VAT rate of the destination country on the invoice line, when the VAT rules for your situation call for it (see OSS and VAT on EU sales).

What do I need to get started?

A Bol.com seller account with an API key (Client ID and Client Secret) and access to your accounting package. Both take a few minutes following the guides.

What does it cost?
