Book your Sendcloud invoices into Moneybird as purchase invoices.

Sendcloud invoices you for postage, surcharges and your subscription, then collects that from your account. Moneybird needs a purchase invoice against it with the right amount, the right VAT and the right ledger account, otherwise your cost side is off and the direct debit sits there as a loose bank line. Schakel fetches your Sendcloud invoices and books them into Moneybird as purchase invoices, marked paid so nothing stays outstanding.

  1. Every Sendcloud invoice a purchase invoice

    What Sendcloud charges you becomes one purchase invoice in Moneybird, carrying the Sendcloud invoice number and date. No more digging the PDF out of your mail and retyping it.

  2. Taxable amount, VAT and non-taxable amount kept apart

    A Sendcloud invoice has a taxable part with VAT and a non-taxable part. Schakel puts those on the purchase invoice as separate amounts, so your VAT return is right and you never reclaim over costs that carried no VAT.

  3. Subscription and shipping costs apart

    Sendcloud has two invoice types: your fixed subscription and your shipping costs. You link each to its own ledger account, so in Moneybird you can see what you pay for the platform and what for the shipping itself.

  4. Booked as paid straight away

    Sendcloud collects by direct debit, so the purchase invoice is registered as paid immediately. Your payables list stays empty and there is nothing to tick off.

Setting it up

  1. 01

    Connect Sendcloud

    In your Sendcloud settings you create API credentials under integrations and hand those to Schakel. Nothing changes about your labels or your shipping process, Schakel only reads your invoices.

  2. 02

    Grant access to Moneybird

    You authorise Schakel through Moneybird itself and pick the administration the purchase invoices should land in. Your password is never asked for or stored.

  3. 03

    Pick your ledger accounts and your starting point

    You assign a ledger account to your subscription and one to your shipping costs. Then you choose how far back Schakel may fetch your older Sendcloud invoices, so the running year is complete in one go.

  4. 04

    Check and let it run

    You check the first booked invoices in Moneybird. If the mapping looks right, every next Sendcloud invoice arrives on its own and everything shows up in the log.

Does Schakel create shipping labels in Sendcloud?

No. Sendcloud is the source here, not the destination. This connector is only about the invoices Sendcloud sends you. Your orders, labels and tracking keep running exactly as they do now.

Do I see what each shipment or carrier cost?

No, and we do not promise it. Per invoice Sendcloud hands over the taxable amount, the VAT and the non-taxable amount, without priced lines per parcel. So you split your costs by invoice type instead: the subscription on one ledger account, the shipping costs on the other.

What happens to the non-taxable part of the invoice?

It lands as a separate amount on the same purchase invoice, without VAT. That keeps the total equal to what Sendcloud collects, and stops you reclaiming VAT over an amount that never carried any.

Can I still bring in my Sendcloud invoices from earlier this year?

Yes. During setup you choose how far back Schakel fetches your invoices, so you can complete the running financial year in one go instead of starting halfway.

Can you connect Sendcloud to Moneybird?

Yes. Schakel connects through the official APIs of Sendcloud and Moneybird, so you install nothing on your own server and nothing travels outside those two parties.

Which VAT rate do my sales get in Moneybird?

The rate is set per line: 21%, 9% or 0%. Sales to Belgium and other EU countries get the rate of the destination country, ready for your OSS return.

Are commission and fees booked separately in Moneybird?

Yes. Commission, shipping and other fee types each land on their own ledger account in Moneybird, rather than in one lump sum, so your margin stays readable.
