The assistant is the main channel of this automation. You log in to your Schakel dashboard, type what needs doing in the chat panel, and it does it in your Moneybird administration.

There is no syntax and there are no keywords. "Create an invoice for Jan Janssen, painting a wall, 200 euro excl." is a valid instruction, and "what is still outstanding" is a valid question. The model reads your sentence, picks the matching action and fills in the details.

The model never executes anything. It produces a name and a set of arguments, and after that it is our code that validates them, renders a preview and waits for your yes. That is a lock on the action itself and not a sentence in a prompt, so it cannot be talked out of it.

What it does

  • Create sales invoices, send them, credit them, register a payment on them or delete them.
  • Create quotes, send them and convert them into an invoice.
  • Book a photo or PDF of a receipt or supplier invoice, with the file attached.
  • Log hours against a customer and a project, and turn a customer's open hours into a single invoice.
  • Find, create and update contacts, and see what a customer was invoiced.
  • Answer questions: open invoices, revenue per period or project, VAT for a quarter, cash in and out, unprocessed bank transactions and logged hours.
  • Move your settings because you said so: a notification on or off, the quiet hours, or the payment matching mode.
  • Remember what you tell it, as a knowledge card, and forget it again when you ask.
  • A question never changes anything. Reading does not confirm, writing does.
  • Sending, crediting, deleting, registering a payment and changing a contact always confirm, whatever you set.

How to switch it on

Connect your Moneybird administration

You authorise Schakel from inside Moneybird itself, so a password is never asked for, and you can revoke the access again at any moment. If you keep more than one administration, you pick which one.

Walk through the setup

Schakel reads your VAT rates, ledgers, bank account and invoice template out of your administration and proposes the defaults. You can change them, but you do not have to go and look anything up.

Start small

Ask a question first, because nothing changes from that. Then a receipt, which is the shortest route to something actually being booked, and you see the preview before anything exists.

  • Matching payments to invoices Schakel reads your unprocessed bank transactions and finds the open invoice each one belongs to. Propose the match or book it, you choose.
  • The receipt behind a payment Money goes out and no purchase invoice belongs to it. Schakel asks for the receipt, and reminds you once if it does not turn up.
  • Invoices that are overdue A message when a due date has passed, with the customer, the amount and the number of days. Chasing is a separate choice.
  • Monthly summary On the first of the month: what you invoiced, what came in and what is still outstanding.
  • Quarterly VAT reminder At the start of a new quarter, a reminder that the return is coming, with the deadline attached.
  • Unprocessed bank transactions A nudge while bank transactions are still open, and it stops by itself once the pile is empty.
  • WhatsApp as well The same conversation on your phone, both ways. An add-on, not a requirement.

Common questions

Which language model is behind it?

DeepSeek. It reads your message and your receipt and proposes the booking. What actually lands in Moneybird goes there after your confirmation, never before. The model picks an action from a fixed list and can call nothing else.

Can I turn the confirmation off?

Partly. You can say per action that it need not confirm any more, creating a draft invoice for example. For anything that reaches somebody else or touches somebody else's money you cannot: sending, crediting, deleting, registering a payment and changing an existing contact always confirm. That is deliberately not a setting.

How does it know which project something belongs to?

From your knowledge cards, or it asks. A knowledge card is a sentence in your own words about one project or one rule, and it sits in the instruction the assistant is given for your administration. When it asks you, it offers to remember the answer. Every card records who wrote it, so what the assistant taught itself is something you can find and take away.
